Privacy Policy

Aspire Sports collects only the information we need to run youth sports programs. This page explains what we collect, why, who we share it with, and the choices you have. If you have any questions, write to us at info@aspiresports.com.

Information we collect

  • Parent/guardian: name, email, phone (optional), hashed password.
  • Child participant: first/last name, birth date, gender (optional), medical notes (optional), emergency contact, and an optional profile photo. We collect this only after you confirm — separately, per child — that you are the parent or legal guardian and consent to its collection.
  • Registration & payment history: programs registered, amounts owed, and payments made. Card details are handled by our payment processor and are not stored on our servers.
  • Usage and device data: pages visited, clicks, approximate region, browser, and timing. Used to keep the site reliable, debug issues, and improve usability.
  • Communications: messages sent through the platform (announcements, coach replies, broadcast notifications).

How we use it

  • Registering and placing children in appropriate programs, teams, and age groups.
  • Communicating schedule changes, coach messages, receipts, and reminders.
  • Ensuring participant safety, including emergency contact during a session.
  • Improving the platform and our programs (in aggregate, not individualized profiling).

Children's privacy (COPPA)

Aspire Sports is intended for parents and guardians, not for children. We collect information about children only through their parent's or guardian's account, and only after the parent has provided affirmative consent for that specific child. We do not knowingly let children under 13 create their own accounts or contact us directly.

As a parent or guardian, you have the right to:

  • Review what we have collected about your child — visible from your dashboard.
  • Correct any information by editing your child's record from the dashboard.
  • Delete your child's record at any time using the "Delete record" button on the family-members card. Deletion removes their profile, photos, registrations (where unpaid), team rosters, and assessment history. If your child has paid registrations on file, contact us — we will process the refund and complete the deletion.
  • Refuse further collection or use by deleting the record and closing your account.
  • Withdraw photo consent by removing the photo from your child's profile, which clears the consent record.

Third-party services

We do not sell personal information. We share information only with vendors needed to deliver the service, and only the minimum required:

  • Stripe — payment processing. Card data flows directly from your browser to Stripe; we never see or store it.
  • Resend — transactional email (receipts, schedule updates, password resets) sent to parent/guardian addresses only.
  • Cloudinary — secure hosting for profile photos.
  • Telegram — optional channel for coach-to-parent team messaging. Only parents/guardians who opt in see these messages.
  • PostHog — product analytics, error tracking, and session replay (described below).
  • Netlify & Railway — application hosting and database hosting.

Analytics & session replay

We use PostHog to record anonymous usage events (page views, clicks, scroll depth) and to capture session replays so we can debug usability problems. All text and form inputs are masked by default in replays, so children's names, dates of birth, photos, medical notes, and contact details are not captured in the recording — only the layout, mouse motion, and click targets. We do not use this data for ad targeting or sell it to third parties. If you would prefer to opt out of analytics entirely, contact us and we will exclude your account.

Your choices

  • Update your profile or family members from your dashboard.
  • Opt out of marketing email at any time — operational messages (schedule, safety, receipts) continue while you have an active registration.
  • Request deletion of your data; we retain payment records for the period required by tax and accounting law (typically 7 years), with personal identifiers removed where possible.

Security

We use industry-standard encryption in transit and at rest, and we limit internal access to a need-to-know basis. No system is perfectly secure; if we discover a material incident affecting your data, we will notify you.
