Refund policy — full details
Last updated: September 22, 2026
The plain-language summary is at /refund-policy. If the two ever disagree, whichever is more generous to you wins.
Definitions
Season start date — the first scheduled session of the division, not the date your own team first plays.
Prorated — calculated by sessions remaining, counted from the day we receive your request, not the day we process it. Our processing time is never your cost.
Credit — a balance on your Aspire account, usable on any future Aspire program. Transferable within your household.
Individual registrations
| When you ask | What happens |
|---|---|
| 14+ days before the season starts | Full refund |
| Under 14 days, before the first session | Prorated credit by default; refund for injury, relocation, or a documented conflict |
| After the first session | Prorated credit where your circumstances materially changed. No automatic entitlement |
| Any time we cancelled the program | Full amount paid, refunded within 10 business days |
| Following removal for a conduct violation | No refund |
Team registrations
The person who submitted and paid for the team registration is the party of record. Refunds return to the original payment method, which means to them. We do not divide a team refund among players.
A team that withdraws is handled on the individual grid above, measured against the division's start date, with the team fee as the base amount.
Where players on a team paid individually, each is treated as an individual registration.
Where we cannot place your team — the division doesn't run, is consolidated, or is cancelled — that is our cancellation, and it's a full refund.
Deposits and holds. Any deposit or reservation charge taken as part of a team registration is part of the amount you paid and is refunded on the same terms as the rest of it. It is not a separate fee we keep.
Cancellations by Aspire
Full amount paid, refunded within 10 business days, whatever the reason — insufficient enrollment, facility loss, staffing, division consolidation. Not a credit, unless you'd rather have one. No fees deducted. The clock starts the day we notify you.
A single cancelled session is not a cancelled program. The remedy is a rescheduled session. Where we can't reschedule within the season, you get a prorated credit for it.
Conduct removals
Removal for a Code of Conduct violation does not entitle anyone to a refund, in whole or in part. It applies to the person removed and does not affect a teammate's registration. If a removal is overturned on appeal, your refund position is restored to what it would have been on the date of the appeal.
Processing fees
We cover the card processing fee on individual registrations. On team registrations it is passed through at cost, and we tell you the exact dollar amount before processing — never afterward. We never deduct a fee from a refund for a program we cancelled.
Credits
A credit sits on your Aspire account and applies to any future program. It keeps the rate you originally paid, including an early-bird rate.
If the reason you can't use a credit is on our side — no program ran in your division, the age group was discontinued — ask us to convert it to a refund and we will.
How to request
Email hello@aspiresportsohio.com from the address on the registration, with the participant's name and the program. We confirm receipt within one business day. A named person owns your case until it's resolved.
